Newsletter helps you maximize the value of your time and effort spent on content creation. This tool allows you to share newsletters across groups and in Teams, ensuring your message reaches the right audience.

Setting up the feature

Enabling Newsletter as a site Owner

 

  • Go to Feature Dashboard and turn the Newsletter card to "Enabled" to activate the Newsletter creation for every site owners and contributors.

Create the newsletter as a contributor

Newsletter can only be created directly on the site, as they are designed to target front elements.To use the Newsletter feature, the user must have at least a contributor role. This role allows access to the Newsletter panel directly from the contribution menu.

  • Click on the Create Newsletter button.

  • Repeat.
  • Choose a banner and a color to personalize your newsletter.
  • Add the title and the description, which will serve as the main content of the newsletter when displayed to your audience. 

  • Add Page content from the current site, from the entire tenant or scoped to a Contribution Campaign.

 

 

 

Send 

  • Add receivers by selecting individual email addresses, AD groups (such as Distribution Groups, M365 Groups, and Shared Mailboxes with the right permissions), or Teams channels.

 

  • For Teams Channels, select the relevant channel, allowing members to receive the newsletter directly within their Teams interface.
  • Send immediately to distribute your content right away or...

 

  • ...Schedule it for the desired date

External users
The Newsletter feature is not available to external users.
Only internal users from the tenant with the required permissions can create, configure, or send newsletters.

 

Create and Use Templates as a Contributor

Contributors can create and reuse templates to streamline the newsletter creation process and ensure visual and editorial consistency across all communications.

 

  1. Click on "Create Newsletter button

  2. Select "Create template"

  3. In template mode, add a name, description and assign categories to organize and filter templates in the gallery.

  4. Lock sections that should remain uneditable once the template is instantiated.

  5. Insert placeholders to define editable areas that contributors can fill in after the template is created.

 6. All users can create templates, but administrators decide which ones become public by clicking on "Publish". You can see the visibility of your templates in the new "My templates" tab.

Newsletter (global) :

  • Mail.Send : Needed to open the Newsletter dashboard. Basic permission to be able to send mail.

Transmitter : Only for target "Groups" or "Teams"

  • User.ReadBasic.All : Be able to search for a specific user/mailbox
     
  • Mail.Read.Shared : Be able to check if it's a shared mailbox and if the user has access to it and can send an email through this mailbox
  • Mail.Send.Shared : Be able to send an email through a shared mailbox

Groups : on the searchbox

  • Group.Read.All : Be able to search & retrieve groups. If not consented, only "Additional emails" is available

Teams : on the Teams searchbox

  • Group.Read.All : Be able to search & retrieve teams. Teams feature is not usable without this permission
  • ChatMessage.Send : To be able to use the "Test" feature with Teams. This feature send a chat message to the user.
  • ChannelMessage.Send : To be able to send the newsletter with Teams configuration. Teams feature is not usable without this permission

Teams : On the Channels searchbox

  • ChannelMember.Read.All : Be able to retrieve the number of members in a Teams channel. Without this permission we cannot know how many users can access the channel message and the property "Sent count" in the Newsletter dashboard will be set to "-" instead of the real number of users
