We are pleased to introduce the April 2025 release of Powell Governance. This release focuses on enhancing administrative control, and user experience through new features, like documents reporting, and improvements.

Workspace external shared links & document management
Powell Governance now provides administrators with visibility into externally shared links within Teams and SharePoint sites. This feature enables them to track and manage documents that have been shared outside the organization, ensuring better security and compliance.
Administrators can see a list of all externally shared links, including details such as the associated document, the team or site where it is stored, and who it has been shared with. This allows them to quickly identify potential risks and take necessary actions to control external access.
With this update, Powell Governance enhances data security by helping administrators monitor and regulate external sharing more effectively.
Custom views on the user dashboard
Powell Governance now allows administrators to configure personalized views on the user dashboard, ensuring that end-users have tailored access to their workspaces based on their specific needs.
These custom views are configured just like custom reports, enabling admins to define which workspaces are displayed and which columns are shown for a more intuitive experience.
This enhancement optimizes workspace navigation and saves time by allowing users to quickly access the most relevant workspaces, documents, and information.
Document reporting
Powell Governance now enables administrators to generate dedicated document reports, improving visibility, security, and compliance across workspaces. This feature makes it easier to track and manage documents efficiently.
By default, Powell Governance provides three pre-configured reports:
- Documents shared with external users – Identify all externally shared documents to prevent potential data leaks.
- Heavy documents (More than 1GB) – Track large files that may impact storage capacity and performance.
- Documents without a sensitivity label – Find documents that have not been classified to ensure compliance with governance policies.
Additionally, administrators can create custom reports using various document properties, such as document name, associated team or site, sharing status, last modification date, and sensitivity label.
This enhancement improves document oversight and strengthens governance policies by giving administrators better control over document management within their environment.
