Introduction
Documents can be shared in many ways in Microsoft 365, and it can be difficult to quickly understand a document’s context and sharing status. With Powell Governance, administrators can open a Document detail page to see the key information and the sharing links of a document in one place.
Today, documents are listed in a table at workspace level, and clicking a document only opens the list of sharing links. The Document detail page provides a dedicated view with both metadata and sharing details.
Access the document detail page
You can open the document detail page from the Shared documents tab (renamed from “Documents”) on a Team or a SharePoint site edition page.
In the documents table:
- Default action: clicking a document opens the Document detail page.
Document detail page
The document detail page provides a consistent layout and is structured in 2 tabs:
- General information – Displays document metadata and sharing status.
- Sharing links – Displays the list of sharing links created on the document.
General information
The general information tab displays:
Document information
- Name
- Description
- Type
- Size
- Author
- Creation date
- Last modification date
- Last access date
- Sensitivity label
Sharing status
- Active links
- External links
- Total links created
Context
- Group ID
- Site ID
Sharing links
This tab displays the list of sharing links created on the document itself. You can also revoke a specific sharing link to immediately remove the access it grants (this action cannot be undone).
Keep in mind that a document may also be shared through the folder or library where it is stored, so you may need to check higher-level sharing settings to get the full picture of who can access it.
