Because Powell Advanced Analytics provides deep insights into employee engagement and behavior, it is crucial to ensure that this data is only visible to authorized personnel, such as Internal Communications teams, HR, and Intranet Administrators.
This article explains how to define access levels for your analytics dashboards and how to manage data privacy.
🔐 1. Defining Dashboard Access Levels
By default, you can control the minimum permission level required for a user to access the Advanced Analytics dashboards on a given site.
To configure this setting:
Click on the gear icon in the Powell Intranet header to open the Settings menu.
Select Features dashboard.
Locate the Advanced Analytics card and click Manage.
In the configuration panel, find the Manage access section.
Choosing the right permission level: Use the dropdown menu under "Define who will have access to Advanced Analytics" to set the threshold.
At least site contributors (Recommended): Only users who have editing/contribution rights on the site (typically page authors, communicators, and admins) will see the Analytics button and dashboards. Standard readers will not have access.
At least site owners: Restricts access strictly to the primary administrators of the site.
At least site members: Broadens access to all members of the site group. (Note: This is generally not recommended for sensitive analytics).
🎯 2. Restricting the Site Picker (Security & Governance)
If you have a global intranet with multiple department sites (e.g., HR, IT, Marketing), you want to ensure that a local contributor for "Marketing" cannot spy on the analytics of the "HR" site.
In the same configuration panel, you will find a toggle named Show only user sites.
When enabled (Recommended): The site picker within the Global Analytics Dashboard is dynamically filtered based on the connected user's SharePoint permissions. A user will only be able to view analytics for the specific sites they have the right to access.
When disabled: Users with access to the global dashboard can see the list and metrics of all sites across the tenant.
🛑 3. Managing Privacy (Excluding Users from Tracking)
Access management isn't just about who can see the data; it is also about who is included in the data. You may want to exclude specific groups of people from your metrics so they don't skew your engagement numbers (for example, the IT support team, external auditors, or a test account group).
To exclude specific groups:
In the Advanced Analytics configuration panel, go to the People groups not tracked in analytics section.
Use the search bar to find specific Microsoft Entra groups (formerly Azure AD groups).
Select the group(s) you wish to exclude.
Once added, any intranet activity generated by users within these Entra groups will be completely ignored by the Advanced Analytics tracking engine.
