Configuring Tracked Information & Filters

o get the most out of Powell Advanced Analytics, you need to be able to segment your data. Knowing that 500 people read an article is good, but knowing which departments or which countries those people belong to is much more valuable for your Internal Communications strategy.

The Tracked information & filters interface allows administrators to define exactly which user and item properties are collected by the analytics engine and made available as filters in your dashboards.

 

⚙️ Accessing the Interface

To access this menu:

  1. Open the Advanced Analytics configuration panel (via the gear icon > Features dashboard > Advanced Analytics > Manage).

  2. Scroll down to the bottom of the panel to the Tracked data and filters section.

  3. Click the Manage button.

     

🗂️ Understanding the Interface

When you open the "Tracked information & filters" window, you will see a clean interface divided into two main tabs:

  • User properties: This tab defines the demographic data collected about the people viewing your content (e.g., Department, Country, Office Location, City). This data is typically pulled from their Microsoft Entra ID (Azure AD) profiles.

  • Item properties: This tab defines the metadata collected about the content itself (e.g., Page Category, Author, Tags).

Reading the Properties Table 

For each tab, the table displays the status of your tracked data across four columns:

  • Display name: The user-friendly name of the filter exactly as it will appear to Internal Comms and HR teams in the Analytics Dashboard (e.g., "Company Name").

  • Internal name: The technical system name of the property mapped in the background (e.g., companyName).

  • Is filter: Indicates whether this property is actively turned ON and available as a clickable dropdown filter in your dashboard reports. It also displays if any default filtering values are currently applied.

  • Standard property: A green checkmark indicates that this is a native, out-of-the-box property provided and maintained by Powell Intranet.

     

âž• Adding a Custom Property

If your organization uses custom Active Directory attributes (like a specific Job Role code) or custom SharePoint metadata that you want to use for analytics reporting, you can easily add them to your tracking engine.

  1. Select either the User or Item tab, depending on what you want to track.

  2. Click the red New Tracked property button in the top right corner.

  3. Fill in the display name and the exact internal technical name of the property.

  4. Enable the filter toggle if you want this property to be usable in the dashboard UI.

⚠️ Important Privacy & Data Note: When you decide to track a new property, this specific information will immediately begin to be stored in your analytics application (Azure App Insights). Data collection is not retroactive. Always ensure that tracking new custom user properties complies with your organization's internal data privacy policies and local regulations.
