When deploying analytics tools within a digital workplace, respecting employee privacy and complying with data protection regulations (such as GDPR or CCPA) is a top priority.
This article explains what data is collected by Powell Advanced Analytics, how long it is retained, and how user tracking and consent are managed.
📊 The Data Plan: What Do We Collect?
Powell Advanced Analytics is designed to measure engagement with content, not to monitor individual employee productivity.
Data collected includes:
Interaction Data: Page views, time spent, clicks, and explicit interactions (like Pulse and Sentiment voting).
Contextual Data: Browser type, device type (desktop/mobile), and timestamp.
Demographic Data (If configured): Department, Country, or other Entra ID (Azure AD) properties defined by your administrator in the Tracked Information & Filters settings.
What we DO NOT collect:
We do not track keystrokes, private messages, or activity outside of the Powell Intranet environment.
We do not store personally identifiable information (PII) beyond what is strictly necessary to aggregate demographic filters (unless explicitly configured by your IT team).
⏳ Data Retention Policy
By default, the analytics data generated by your intranet is stored within Powell Storage (unless you have configured a custom Azure Application Insights endpoint).
Standard Retention: Data processed via Powell's default storage is typically retained for a rolling period of 13 months to allow for year-over-year reporting.
Custom Retention (BYO Storage): If your organization uses its own Azure Application Insights instance, your IT department has full control over the data retention policies configured directly within your Azure portal (ranging from 30 to 730 days).

Transparency and control are built into the module to help your organization meet its compliance requirements.
Corporate Policies & Legitimate Interest
In most corporate environments, intranet analytics are covered under the "Legitimate Interest" clause of data privacy laws, as the data is used to improve internal communications and company operations.
The Privacy Exclusions (Opt-out)
If certain users, executives, or workers' councils (CSE/Works Councils) request not to be tracked, administrators can easily exclude them:
Go to the Advanced Analytics settings (via the Features dashboard).
Use the "People groups not tracked in analytics" feature.
Add the specific Microsoft Entra ID groups. Any user in those groups will have their data immediately ignored by the tracking engine.
