This release deepens document governance with smarter campaign targeting, sharper visibility into metadata gaps and high-priority repositories, document-level AI Readiness recommendations, and quicker access to your favorite reports.
This release is scheduled for Tuesday, September 29th, 2026
Choose Which Owner a Document Campaign Targets
When launching a campaign that requests a corrective action on documents, administrators can now choose which type of owner the campaign targets, rather than the system resolving ownership across the whole base.
- Available owner types: author, editors, library owner, site owner.
- A fallback chain applies when the primary target doesn't resolve, so requests still reach someone accountable.
- Ownership resolves at campaign launch, scoped to the campaign's audience only.
Discover Missing Metadata
A new report identifies documents that are missing taxonomy fields expected for their content type, so administrators know exactly where custom metadata is incomplete.
- Flags documents against the taxonomy fields defined for their content type.
- Available as a dedicated report, giving administrators a clear starting point for filling in the gaps.
Document-Level AI Readiness Recommendations
The AI Readiness score now includes document-level recommendations, extending the same model already used for Teams and SharePoint sites down to individual documents.
Five new recommendations are available, aligned with the three signals the score already uses, exposure, staleness, and ownership:
- Documents shared externally or with "Anyone" links
- Documents without an owner
- Duplicate documents in AI-exposed locations
- Unlabeled documents
- Documents with incomplete metadata
Favorite Reports
Administrators can now mark reports as favorites and find them in a dedicated tab, without browsing the full report catalogue.
- Favorite or unfavorite a report from either the Powell Governance reports tab or the Custom reports tab.
- A new My Favorites tab groups them for quick access.
- Favorites are personal to each user, not shared at tenant level.
Smart Scoping
Governance can now focus on what matters most instead of processing the full document base uniformly.
- Most-used and business-critical repositories are flagged automatically.
- Administrators can also manually configure high-risk sites and keywords to prioritize for metadata scanning.
Richer Document Properties in Custom Reports
Custom reports can now surface a wider set of document properties, going beyond today's basic set:
- Author (created by)
- Last modified by
- Web URL
- Has malware
This gives administrators the data needed to build meaningful document governance reports — for example, identifying ownerless or duplicate documents.
This release strengthens the data and targeting behind document governance campaigns, gives administrators clearer visibility into metadata gaps and high-priority repositories, and extends AI Readiness down to the document level.
