October 2026 Powell Governance release note

This release completes the document governance toolkit with near-duplicate detection and a new delete action, and gives employees a reworked dashboard to act on the workspaces and documents they are accountable for, without waiting for an administrator to chase them.

This release is scheduled for Wednesday 4th of November

Duplicates of a Document

Exact duplicates are already identified through the document content hash (released in September), and the new HasDuplicate property shows whether a document has copies. Administrators can now also see which documents those copies are. A new Duplicates tab on the document detail page lists them, so administrators can review the redundant copies and act on them.

  • Lists every other document in the tenant, on any site, with the same content as the current document (same content hash and same size).
  • Shows the name, site, location (library and folder), size, last modified date and last modified by for each copy, matching the columns of the documents report. Each line opens that copy’s document detail.
  • Document actions, including the new Delete action, can be applied to one or several copies at once. The document you are on is treated as the master copy: actions only apply to the selected copies, never to it.
  • The tab is always visible, with a count of copies and an empty state when there are none. Large groups, such as templates copied across many sites, are paginated.
  • A copy deleted from the tab disappears from the list right away.

A Reworked Dashboard for End Users

The user dashboard has been redesigned so that employees can see everything they are accountable for and act on it themselves, rather than waiting for an administrator to request it.

  • Your workspaces and documents: the workspaces and documents you own or are a member of, along with the issues detected on them.
  • Content health: the share of the workspaces you own that respect your organization's governance rules.
  • To-do panel: replaces the previous "actions requested by admin" list. Actions are sorted by deadline and grouped by urgency, and each one leads directly to its resolution.
  • Actions completed: a view of the actions you have completed over the last 8 weeks, week by week.
  • Familiar toolbar: search, tags, filters, sort, list/grid toggle and favorites remain available.

New Document Action: Delete

The corrective actions available on documents now include deletion, for content that is obsolete, at risk, or simply shouldn't exist. Administrators can remove a document directly from Powell Governance, without going into SharePoint.

  • Available from the document detail page and from document reports, including in bulk.
  • Deleted documents are removed from reports and no longer counted.
  • Every deletion is traced: who deleted what, and when.
  • The action can be delegated to document owners through a campaign.

This release gives administrators the means to identify redundant content and remove it, and puts the tools to resolve issues directly in the hands of the people accountable for the content. As always, feel free to reach out to our support team with any questions.
