What is the Powell Governance governance score?

The Powell Governance governance score is based on information that the Powell Governance application has access to with advanced consent.

We created the Powell Governance score to help our customers to have better control over their Microsoft Teams environment. Setting those governance rules are not not necessarily innate at the beginning. Thanks to our experience and one of our customers and partners, we wanted to guide this process of setting up Microsoft Teams governance with this governance score.

This score is based on our recommendation that we advise following. It has been designed to correspond to the most organization possible. However, we know that some of the criteria could not be aligned with your particular company context.

Powell Governance score is calculated at 100 %. Your score will give you a "level" from beginner to expert.

0 to 50 points: Beginner - Red zone of the counter
50 to 75 points: Intermediate - Yellow zone of the counter
75 to 100 points: Expert - Green zone of the counter
 

How Powell Governance score is calculated?

As mentioned above, the Powell Governance score is calculated on the result of a weighted average based on several criteria with various degrees of importance:

Number of Teams / Number of unique users
  • <=0,3 ▶️ 10pts
  • >0,3 and >0,6 ▶️ 5pts
  • >=0,6 ▶️ 0pts
Too much teams can be a mess for administrators but also for end-users. We recommend to have an average teams / users around 0,3. Set approval workflows in your Powell Governance templates to control your team sprawl.
 
Teams with insufficient owners (less than 2 owners)
  • <5% ▶️ 10pts
  • >=5% and <10% ▶️ ️5pts
  • >=10% ▶️ 0pts

To be sure that your teams stay managed, we advise to keep a minimum number of owners of 2 per team.

Set a minimum number of owners in your templates to avoid this situation.

 

Teams with insufficient members (less than 2 members)

  • <5% ▶️ 10pts
  • >=5% and <10% ▶️ ️ ️5pts
  • >=10% ▶️ 0pts
Teams should be created to collaborate across the organization. Having a lot of small teams on your tenant is not recommended. We advise to keep a minimum number of members 2 per team.
Set a minimum number of members in your templates to avoid this situation.
 
Teams with guests
  • <10% ▶️ 10pts
  • >=10% and <20% ▶️ ️5pts
  • >=20% ▶️ 0pts
 
Teams with guests can be a threat to your data security in your organization. You should minimize the number of them and control who are the guests.
 
Teams without owners
  • <2,5% ▶️ 10pts
  • >=2,5% and <5% ▶️ ️5pts
  • >=5% ▶️ 0pts
Orphan teams should not exist. We strongly recommend that you have very few teams without an owner.
Add team owners in the concerned teams from the dedicated report.
 
Public teams 
  • <10% ▶️ 10pts
  • >=10% and <20% ▶️ ️5pts
  • >=20% ▶️ 0pts
Public teams are useful for collaboration but cannot become the norm. Most of the teams should be private and we recommend doing so by default. Modify some of those public teams to private or ask owners to do so from the dedicated report.
 
Inactive teams 
  • <10% ▶️ 10pts
  • >=10% and <20% ▶️ ️5pts
  • >=20% ▶️ 0pts
Inactive teams should be archived or deleted if they are not used anymore. Having a big amount of inactive teams is not recommended. Archive or ask team owners to archive those teams from the dedicated report.
 
Inactive teams with guests
  • <2,5% ▶️ 10pts
  • >=2,5% and <5% ▶️ ️5pts
  • >=5% ▶️ 0pts
Inactive teams with guests can have outdated content and/or can be a threat to your data security in your organization. You should avoid those teams on your tenant.
Archive or ask team owners to archive or remove guests on those teams from the dedicated report.
