Overview
The Control & Privacy page allows you to configure advanced settings related to AI behavior, data hosting, and privacy for Powell Buddy.
These settings help you control how agents behave, where data is processed and stored, and how conversation history is handled.
Access
The Control & Privacy page is available from the back office left-hand menu under Advanced settings > Control & Privacy.
Advanced Agentic
AI models include built-in safeguards to prevent inappropriate behavior.
The Advanced Agentic section allows you to define a global system prompt that applies to all AI agents across the platform and acts as an additional layer of guidance.
This global prompt can be used to specify:
Desired behaviors
Define how agents should interact with users.
Example: remain polite, professional, and concise; use a clear and accessible tone.Prohibited behaviors
Specify behaviors or patterns that agents must avoid.
Example: offensive or discriminatory language, ambiguous or misleading answers, unfounded assumptions.Forbidden words
List words or expressions that must never appear in responses, such as swear words or inappropriate terms.Response limitations
Define clear boundaries for agent responses.
Example: do not provide medical or legal advice without professional validation.
By configuring these rules, you ensure consistent behavior and response quality across all AI agents on the platform.
Hosting & Privacy
This section centralizes all configurations related to data processing, storage, and privacy for Powell Buddy features.
The Data storage configuration allows you to choose where knowledge bases and conversation data are stored.
By default, Powell provides a Powell-hosted storage, available without any configuration.
This storage is intended for standard usage and may be subject to usage limits enforced by Powell.
Knowledge Base & Agent Data Storage
For the next options, you will always have a choice to use a Powell storage or your own one. The Powell storage is available by default without any configuration.
In this section, you can configure a Cosmos DB (Create an Azure Cosmos DB) used to store:
SharePoint and Zendesk knowledge bases
Tools (plugins)
Conversation history (if enabled)
A dedicated documentation article explains how to create and configure a Cosmos DB.
Once created, open the Control & Privacy page, click on "configure" button in "Data Storage and Configuration" section.
Open the Networking page on in the Settings section of Azure.
And paste your Cosmos DB Primary connection string into Buddy in the panel.
File Libraries
File libraries are stored differently from other knowledge base types.
Each file library knowledge base is stored as a folder within a Blob Storage container. To enable this, you must provide a Blob Storage connection string.
Azure AI Search Migration
If you already have knowledge bases using Azure AI Search, they remain unchanged and continue to work.
You can manually migrate these knowledge bases to a Cosmos DB (Powell-hosted or customer-managed - Create an Azure Cosmos DB), one knowledge base at a time.
Once all knowledge bases have been migrated, we recommend decommissioning the Azure AI Search service to avoid unnecessary infrastructure costs, as it will no longer be used by Powell Buddy.
Conversation History
Conversation history can be enabled directly from this page. When activated, end users are asked to explicitly consent to the storage of their conversations. Once consent is given, conversations are stored and indexed per agent, allowing previous interactions to be reused in future sessions. This improves response relevance and continuity by giving agents access to prior context over time.
